Look at the last invoice, quote or contract your business sent out. Was it signed off from somebody@gmail.com or yourcompany@hotmail.com? If so, you’re in good company, plenty of small and even mid-sized businesses across Bangkok and Thailand are still doing this in 2026. You’re also, without realizing it, telling every new client that your business might not be around next year.
A personal Gmail is exactly that, personal. It’s perfect for your own inbox, your holiday photos, your online shopping receipts. The moment it becomes the address a client sees on a quotation, a hotel guest sees on a booking confirmation, or a supplier sees on a payment request, it stops looking personal and starts looking makeshift. Fair or not, a free email domain reads as “this might be a one-person operation running out of a spare room,” even when that’s nowhere close to the truth.
Why a free @gmail address hurts a Thai business
This isn’t just a Bangkok problem, it’s global, but it matters more here because so much of Thai B2B and hospitality business runs on email first impressions, quotations, confirmations, and internal replies that clients CC each other on. A few things a @gmail.com or @hotmail.com address does to your business without you asking it to:
- It looks temporary. A custom domain says “we’ve been here, and we’re staying.” A free address says “we might change this next year.”
- It gets filtered more. Spam filters are naturally more suspicious of free consumer domains sending business volume, which means your quotations and follow-ups are more likely to land in a client’s spam folder.
- It’s harder to trust with money. An invoice from accounts@gmail.com is a much easier target to spoof and a much harder one for a client’s finance team to verify than accounts@yourcompany.com.
- It doesn’t scale. The day you hire someone, you’re stuck creating another random Gmail account, not sales@yourcompany.com with proper structure behind it.
None of this means Gmail or Hotmail are bad services, for personal use, they’re excellent. The issue is only ever the domain sitting after the @ sign when it’s representing a business.
Benefits of a custom domain email address
Beyond just looking more established, a proper business email on your own domain gives you things a free inbox simply can’t:
- Instant credibility. reservations@yourhotel.com reads like an established property. hotelbooking2019@hotmail.com reads like a pop-up.
- Real structure as you grow. sales@, support@, accounts@, all under one domain, all manageable from a single admin panel instead of a pile of personal logins scattered across staff.
- Ownership. If a staff member leaves, the account and everything in it stays with the business. With a personal Gmail used for work, that’s rarely so clean.
- Better deliverability when it’s set up properly, which is the part almost everyone skips.
Google Workspace pricing in Thailand, 2026
The obvious next step for most businesses is Google Workspace, and it’s a genuinely solid product. But the pricing in 2026 has crept up. Google’s own published rates for Business Starter run from around $7 to $8.40 per user, per month, which works out to roughly 250-300 THB per person, per month, before you even look at Business Standard or Business Plus, which climb well past that. For a business with five staff needing email, that’s easily 1,500 THB a month or more, every month, indefinitely, just for inboxes.
For a lot of Thai SMEs, hotels & agencies, that’s real money for something that, at its core, is just a mailbox with a calendar attached.
Business email hosting in Thailand from 120 THB
This is exactly the gap we built our business email hosting service to fill. Professional, reliable email on your own domain, without the Google Workspace price tag attached to every single account.
Here’s what’s actually included, not as an upsell, but as the standard setup on every account we manage:
- Starting at 120 THB per account, per month: A real business inbox for a fraction of what the big providers charge per seat.
- Perfect email authentication: Correctly configured SPF, DKIM and DMARC on every domain we host, no half-finished DNS records left for you to figure out later.
- TOP deliverability from day one: We set every account up to score well on deliverability and spam testing tools, so your quotations and invoices land in the inbox, not the spam folder.
- Full IMAP/SMTP access: so it works with Outlook, Apple Mail, or your phone’s native mail app, no forced ecosystem.
- Migration handled for you: If needed we move your existing inboxes, old emails included, without the usual chaos of a DIY switch.
- One team to call: The same people who host your website and manage your server can manage your email, instead of juggling three separate vendors who don’t talk to each other.
SPF, DKIM and DMARC: the setup most providers skip
A lot of “custom” business email out there is really just a mailbox pointed at a domain with the bare minimum DNS setup, no SPF, no DKIM, no DMARC policy. It looks fine until deliverability quietly craters and half your emails start landing in spam without anyone noticing for months. We don’t do half-finished setups. Every domain we host gets configured properly the first time, which is the actual difference between an email address that just exists and one that reliably reaches people.

Get your business email set up properly
If your business is still running on a free address, or if your current “professional” email setup was never actually configured properly, moving over is a lot less painful than it sounds, and considerably cheaper than most business owners assume. Whether it’s one founder’s inbox or twenty staff across departments, we’ll set up professional business email on your own domain, migrate what you already have, and make sure it actually gets delivered. Get in touch and we’ll walk you through what a proper setup looks like for your business.
